Attendance Icons in the Attendance Pane in the SIP and Day-By-Day

This article outlines how the system determines when and which icon displays under 'Period-Based View' on the 'Attendance History' pane in the SIP, and under 'Day by Day' on the 'Attendance Administration' page.

Why are some of the Attendance icons missing under Period-based view?

This occurs when there is no Timetabled class for that period. Period-based view reflects internally and externally managed timetabled classes.

Why don't Attendance Icons show in Period-Based View for Calendar Classes?

Calendar classes are recorded against a time-range and not a timetable period. Attendance icons do not display for calendar classes in the Period-based view. The attendance for these classes is visible under the Time-based view in the SIP Attendance pane.

If an icon is displaying when there is a calendar class, there are likely timetabled classes that run across the same time-range, in which case the system will display an icon based on the attendance for the timetabled class.

Since calendar class attendance only shows under 'Time-Based' view, some consideration should be applied before commencing with a particular class type for timetabling.

Why can't I take attendance in an Untimetabled class

This type of class has no time reference other than the Timetable period. This class type is usually used for programme testing and reporting of special subjects.

How the system determines which Attendance Type icon to show

The system can only display one icon for each period under the 'Period-Based' view, both in SIP and some Attendance Reports (i.e. 'Attendance Solution Details').

  • If there is only one type of attendance recorded for a period the system will display the icon regardless of the duration of recorded attendance

If there is more than one attendance type recorded for a period the below rules apply.

  • The system will display the attendance type that runs for the majority of the period. If the attendance runs for 50% of the period they system calculates it down to the second.
  • Regardless of the duration of the class, if the attendance type runs for 5 or less minutes the icon will not display.
