Printing and Exporting Contact (Parent/Guardian) Information

Contact information can be viewed, or obtained in spreadsheet or PDF format from various areas in SEQTA. Some of these are outlined below.


Contacts Flagged for Correspondence

The Correspondence export creates a spreadsheet one row for each contact type flagged to receive correspondence or each student.

If required the spreadsheet can be manipulated using a program such as Excel to remove unwanted columns, and remove duplicates.

  1. Go to Administration workspace > Correspondence > Export.
  2. Select students using the drop-down list or add a group of student by clicking on the ellipsis icon (...).
  3. Next to 'Send to' select Guardians, Students or Both.
  4. Click Preview to view onscreen, or Export to open in spreadsheet format.

  5. When prompted, select Click to Access the Document save or view the data in spreadsheet format.


Contacts Flagged for SEQTA Engage Access

The printout on the 'User management' page produces a spreadsheet which includes the parent name and email address, if looking at 'Active' accounts it will also display the username.

  1. Go to the Administration Workspace > User Management > Account Manager.
  2. Next to 'Send to' select Guardians, Students or Both.
  3. Select the from the status drop down (i.e. 'Active', 'Ready to Provision'). There is no option to select status, rather, the report would need to be printed to each one.
  4. Click Print.


Printing List of Guardians in the Database

This export includes all Contact records in the school's database, even if they no longer have students that attend the school. It also includes old records leftover due to Contact code changes. There is no indication of which Contacts are linked with which students.

  1. Go to the Administration Workspace > Data Management (Permission 'DATA:EDIT' required).
  2. Select Guardians.
  3. If required use the search box to filter the search for specific parents.
  4. Click Export CSV
