MAZE Code Management

It is essential that MAZE administrators do not reuse MAZE student codes which were assigned to students who previously attended the school.
 

WARNING: The consequence of a student code being reused is an Information Security risk, since the new parents and student potentially have visibility of the past student’s results, attendance data and pastoral care data.


Preventing codes being reused

The two options to ensure codes are not reused are as follows:

  • Option 1: Strongly recommended Enter the last two digits of the student's expected year of graduation at the end of the student code (eg. SMITHK22) to make it more unique.
  • Option 2: In the MAZE Student Archive table check to see whether a code has been used for a previous student before assigning it to a new student. Since this is a manual process it is possible that a code duplication might not be found.

Using three characters from the first name after the second name still poses a risk - for example, the two students 'Kyle Smith' and 'Kylie Smith' would both end up with the code 'SMITHKYL'.

What to do if a code has been reused

  1. Do not change student codes directly in SEQTA or in the archive table in MAZE.
  2. Immediately revoke access for the student’s account
    1. Go to the Administration workspace>User management.
    2. Select Active from the drop-down on the right-hand side
    3. Use the search box to find the accounts (Note: sometimes the search needs to be run a second time to find the relevant match)
    4. Tick the checkbox at the left-hand side of the account to select it
    5. From the Actions drop-down, select Revoke Access>Confirm.
  3. Change the new student’s code in MAZE (to one that has not been previously used)
  4. Run a sync
  5. Contact the SEQTA Support team requesting the accounts be unmerged. Supply the old student code and the new student code. Authorisation from your school's SEC or STC is required as a data service fee will apply.
