Enabling the Photo Sync Profile

The Photo sync will stop if there is no timetable in the Sync profile which has an end date in the future. This ensures the photo sync stops running over the end of year break (giving staff sufficient time to archive academic reports prior to the photos being updated to the following years).

This article is aimed at schools that manage their Photo sync in Sync UI, or who have a sync profile specifically for the Photo sync (one can be created if required).


Re-Enabling the Photo Sync by Adding a Timetable

  1. Go to the Administration Workspace > Timetable Management > Manage Sync.
  2. Select Photo Sync (one can be created if required).
  3. In the top right, select timetable period with an end date in the future and set the frequency
  4. Click 'Save'.


How to Enable the Sync Without the Need to Add a Timetable Period to the Profile Each Year

It is possible to enable the Photo sync so it doesn't require the timetable period to be added each year.

  • Please note this option will result in the timetable period 'Photo Sync' showing in the drop-down lists in other areas of SEQTA.
  • This method will ensure the photo sync runs from the start date to the end date of the timetable period.
  • To stop the Photo sync at any time, click on the 'Scheduled Sync Enabled' option in the Sync profile and click 'Save'.


Creating a Timetable Period to use With the Photo Sync Profile

  1. Go to the Administration Workspace > Timetable Management > Cycle/Period setup.
  2. Select the option 'New Timetable Period'.
  3. Type in a Code (i.e. PHOTO) and Description (i.e. Photo sync) for the timetable period, then set the Start and End dates of the timetable from today till as long as you would like it to run.
  4. Deselect the 3 options 'Visible in Marks Book', 'Visible to Students', 'Visible to Parents'.
  5. Click 'Save'.
  6. Set the group number to 99 (or a number not used for any other timetable periods).
  7. Set the year to the academic year that this timetable period is considered to belong to.
  8. Click 'Save'.
