Printing and Customising the Emergency Report (Master absence list)

The emergency report is a master absentee list. It displays the names of the students that are absent, the types of absence, and which periods they are absent for. This report is typically used for Emergency evacuations and is printed as soon as the evacuation starts. It is then used to cross reference with the muster location attendance lists to account for students who are shown as present at school but have not been counted at the muster point.

The Emergency Report can be customised to group students in cohorts based on the School's requirements (see below for more detailed information).

Printing the Emergency Report

  1. Go to the Administration Workspace > Attendance Administration (any sub-page)
  2. Click on the red 'Emergency' button in the top-right corner.
    1. In multi-location schools there may be a drop-down menu, which will allow you to choose the relevant campus.
  3. When the document is ready, a dialogue will appear. Select 'Click Here to Access Your Document'.
  4. Typically the report PDF is then printed to paper copies for distribution to evacuation staff.

Available Customisations for the Emergency Report

The emergency report has been designed to allow customisations via Site Settings. These can be changed on request to the SEQTA Support team via the Help portal. Email authorisation from the School Technical Contact or School Education Contact is required to apply changes.

The available customisations are as follows:

Grouping - the categories the students are grouped by. The default category is 'Roll'. Available categories are: 'House', 'Roll', or 'Year'. The 'Current Class' is not an available grouping option.

Page Breaks - Controls whether or not to break after each top-level group in the report. That is, we can set a page break after each student grouping to meet your printing and distribution preferences.

Please contact the SEQTA Support team via the Help portal and request that the site setting be set to break on your preferred grouping.

Print Via Campus - If enabled, the Emergency button becomes a drop-down menu which allows the report to be printed on a campus-by-campus basis.
