Photo image requirements

SEQTA can display student photos in the SIP (Student Information Panel) and other areas in SEQTA Teach as well as on reports and SEQTA Kiosk dockets.

Photos can only be added to SEQTA via the SEQTA Sync using one of the below methods:

  • Direct database connection
  • API
  • SEQTA Sync UI

These options may vary from school to school depending on the sync method, data source, and photo format.  If direct or API sync is not available, schools can use Sync UI to upload their photos. SEQTA Sync UI can be embedded in a Portal page allowing images to be directly dropped into SEQTA Teach!

Image requirements

The following are recommended for photos being synced or uploaded into SEQTA.  Note that SEQTA will resize images automatically for quick display in the SIP.  Large images are used on reports and displayed if the photo in the SIP is clicked.

  • Orientation: Portrait (this may require the sides of the photo to be cropped if the photo was taken in landscape format).
  • Photo size: Recommended dimensions are 450 pixels wide by 600 pixels high. 
  • Aspect Ratio: A ratio of 3:4 is required. If the exact dimensions are not possible please set the height of the photo to 600 pixels, then crop the sides to 450 pixels.
  • Naming: the photo must be named by student code and file type extension, eg: 123456.jpg.
  • File type: JPG or PNG
  • File Size: The file size in KB depends on the image format, the detail level and the type of compression. We recommend that you keep the file size per photo as low as possible to avoid issues: 1000 KB is usually OK for full-size photos on academic reports. For comparison, the sample photo below is 1800 pixels tall, with 80% JPG compression. It has a file size of only 200 KB. (NOTE: Its size on screen will vary dynamically because of the way the Support portal articles work).
    • JPEG/JPG: Typically, a high-quality JPEG image might be around 2-5 MB (2000-5000 KB).
    • PNG: PNG files can be larger due to lossless compression, often exceeding 5 MB for similar dimensions.

Resizing and formatting images

The formatting of staff and student photos are handled in-house by the school or by the school photographer. Formatting can be done using a basic image editing tool, e.g. Paint (which is available on all Windows computers) or Preview (which is available on Macs).

Troubleshooting

Should there be issues with uploading specific photos into Sync UI, please check the metadata, ensure that EXIF data exists, and confirm that the file is in the correct format (typically this will be .jpg or, less commonly, .png

If the image is in the incorrect orientation, it may open correctly in some programs and appear rotated or flipped in others. This discrepancy is often due to differences in how programs interpret the image’s EXIF orientation data or missing EXIF data. To ensure consistent display across in SEQTA Teach, you may need to manually rotate the image and save it with the correct orientation.

Please contact the SEQTA Support team via the Help portal. Provide an example student (even if multiple students are impacted).  If using Sync UI, provide an example of a photo with issues.  If using API, specify when the photo was uploaded to the Admin system.

Note: with API syncs there might be delays with availability of photos in the data source dependent on when the API syncs with the Admin system.
