Sending Correspondence to Students and Guardians

This article outlines the process for sending correspondence to students or parents either as plain text or by merging in basic student data (i.e. student firstname, parent 'salutation).

Sending Plain Messages or Messages Including Basic Student Data

Merge fields such as 'student first name' are available under the INSERT FIELDS drop-down if Basic student data is selected.

  1. Click on Administration WorkspaceCorrespondence.
  2. Select Send SMSes, Send Letters, Send Emails or Send Direqt Messages.
  3. Select the mode Plain Message or Basic Student Data.
  4. Select from the select student drop-down list or the Ellipsis icon (...).
  5. Select Guardians, Students, or Both (Guardians and Students) in the top-right corner.
  6. Select the template or type in the details.
  7. Select Preview button to check before sending, once done click OK to close preview.
  8. To send, select the Process button to send then Yes  If prompted type in the number in the prompt to confirm.


Sending Attendance Correspondence

The below method requires a Preset to be setup. A template is recommended for correspondence send regularly (i.e. Absentee follow-ups for the term).

  1. Click on Administration Workspace > Correspondence.
  2. Select Send SMSes, Send Letters, Send Emails or Send Direqt Messages.
  3. Select the mode Attendance Data
  4. Add all the students by clicking on the Ellipsis icon (...) to the left-of the select student drop-down. The system will only send correspondence for the students that meet the Preset rule requirements.
  5. Select Guardians, Students or Both.
  6. Select the template or type in the details (merge fields such as 'student first name' are available under the INSERT FIELDS drop-down).
  7. Select the applicable Preset.
  8. Select Preview button to check before sending, once done click OK to close preview.
  9. To send, select the Process button to send then Yes. If prompted type in the number in the prompt to confirm.

 

Merging Attendance or Pastoral Care Data

The correspondence page can also be used to merge Attendance data and Pastoral data into correspondence to students and parents. Refer to the article Merging attendance or pastoral care data into correspondence for more information.
