Why are parents receiving multiple emails

Parents will receive multiple emails with the same content if Plain message mode is not selected when emailing through Correspondence.
When using the other modes ('Basic student data', 'Pastoral care data', 'Attendance data') the system needs to be able to merge the student information into the email, hence there will be one email per student. These emails will most likely have different content due to the use of the merge fields.
It is also prudent to check the Send to settings (especially at Primary level) in case the student and the guardian share the same email address.

This may also occur when two contact types for a student (eg. 'Father' and 'Mother') have the same email. We recommend this be resolved either by:

  • Changing the SEQTA sync rules to flag only one contact type (eg. if Father and Mother have the same email, then only flag one of the contacts). Please note email authorisation from the school's delegated STC is required for us to make this change, as it is a technical solution. In addition if changes are made to the data in the school's admin system it may cause this type of resolution to fail.
  • Changing the data in the school's admin system so that one of the contacts does not meet the requirements to be flagged for email in SEQTA, based on the sync rule currently in place. The Service desk can provide details of the rule for review to the STC on request. However in this case it may not be acceptable to change the data in the admin system, due to other processes that might need to use the data.
