How does the sync handle class code changes mid-timetable period?
The class code is the unique identifier for classes in the synchronisation process. Therefore, when a class code is changed, the system treats the class as a new class and the old class is discontinued. Depending on the sync setup, the subject code may be used to make up part of the class code. Where this is the case, changing the subject code will create the same issue as changing the class code.
Due to the above, class code changes will have the following impact:
- Attendance from the previous class, which has been discontinued, cannot be accessed through the new class. The change will not affect the underlying attendance that has been recorded through the original class, as attendance is stored with the student.
- If there is a programme attached to the original class, it will (and should) remain with that class, BUT it will not be available through the new class. This is covered in more detail below.
Changing class codes mid-timetable period is not recommended
The impact class code changes have on teacher's programmes and the attendance roll can be quite significant for some schools. This article outlines the reasons.
If there is no other option but to change the codes, please contact the SEQTA Support team via the Help portal BEFORE making any changes in the timetable system. That way, the changes can be coordinated to be made in both systems on the same day.
If the changes have already been made, contact the SEQTA Support team for assistance to fix the affected programmes. These fixes cannot be done through the interface.
Programmes not showing on newly created classes as a result of a class code change
If there is a programme attached to the original class it will remain with that class. It will not be available through the new class. Classes cannot be bridged if in the same timetable period. Rather, they can only be bridged from one timetable period to the next. Due to this, changes that affect the class code should not be changed mid-timetable period.
It may be possible to share the programme with the new class. The issue with this is the lessons will be out of alignment as 'lesson 1' will be the first lesson after the new class was created. While this can be mitigated somewhat (by setting up Pathways to change the lesson order), there is no way to get the missing weeks to show without 'internally bridging the class'.
Internally bridging classes: On request, the SEQTA Support team can bridge classes via the database. This will incur a charge. This will make the earlier lessons show when the programme is accessed through the new class. To complete this process, email authorisation from the School Education contact is required, also, the URL for the attendance roll for the original classes, and the new classes are required. The Support team can provide a quote for the required work.
Past attendance not accessible through the new classes Attendance roll
Attendance from the previous class, which has been discontinued, cannot be accessed through the new class. However, the old attendance roll can still be accessed through the teachers timetable, by changing the date back to a point in time before the change, then clicking on the "@" icon for the class.
