Preventing reports being overwritten when archiving reports using the same timetable period and report type

When arching reports it is only possible to have one set of reports using the same 'Timetable period' and 'Report type'. Due to this, if there is more then one report that needs to be archived with the same timetable period and report type the below process will need to be used. As should the reports be archived as typical it will overwrite those already in the system using that timetable period and report type.


The below process is not required for the first report which can be archived using the standard archiving process. Additional reports archived using the process below. For example, archive the 'Semester one' reports using the standard process, then archive the 'Music reports' using the below process (this assumes the semester one report and Music report use the same timetable period and report type).


Export reports to a ZIP file

  1. Go to the Administration workspace >  Academic reports > Reporting
  2. Select a student or group of students.
  3. Select the Report (eg. 'Semester Report' or 'Interim Report')
  4. Select the Timetable group > Report type
  5. Set the 'Printing mode' to Multiple small reports (batched)
  6. Set 'Report archiving when batched' to Don't archive
  7. Copy and paste the following into the 'Filename pattern' field (do not edit) as these are merge fields):  {term}-{type}-{code}-{schoolyear}-{surname}_{firstname}
  8. Click Print
  9. If prompted, click OK - This will run the report as a background process. Once complete, a number will display on the notification icon in the top-right corner.


Import the reports using the Bulk import tool

  1. Go to the Administration workspace
  2. Under 'Academic reports' Edit and print academic reports'
  3. Select the Report archive tab
  4. Click the Bulk Import button on the toolbar
  5. Click Add a file
  6. Select the location of the Zip folder (eg. My Device) or Dropbox and find the Zip file. Next select the zip file and click OK or Open
  7. Type in a label for Timetable period and Report type. Eg. Timetable period: 2019S1 Report type: Music report
  8. Select the column heading that correlates to the data in the column. If the filename pattern includes the students 'code', then do not select the firstname or surname
  9. Click OK
  10. If required, set reports as visible to students and/or parents through the 'Report archive'. The steps are available in the article: Displaying Academic Reports or Archived Documents in SEQTA Learn and SEQTA Engage.
