About Calendar classes
Calendar classes are classes that are created directly into SEQTA Teach in a similar manner to adding an entry into a calendaring application. They do not need to be synced with the school timetable.
Calendar classes do not rely on the period structure of the timetable. Rather, they are saved against a period of time. Due to this, Calendar classes do not appear in the standard attendance view and on some attendance reports.
Some of the features Calendar classes offer are as follows:
- The option to mark attendance using Calendar classes can be enabled or disabled as required.
- The duration of a calendar class is flexible.
- Calendar class permissions can be set to control the option to create, edit or delete Calendar classes.
- Classes can be cloned across timetable periods (with the option to bridge classes automatically).
- Classes can be cloned to timeframes shorter than a whole term.
Calendar class permissions
The permissions required to use the Calendar class functionality are listed below. Permissions are managed in-house by your school's SEQTA Administrator.
- Calendar: Edit: This permission allows staff to create classes on their own timetable.
- Calendar: Edit all: This permission allows staff to create classes on behalf of other staff.
Creating a new Calendar class
- Click on the Teaching workspace > Timetable > Calendar tab
- Choose the first day of the new class.
- Click on the timetable or click and drag to set the time range for the first instance of the class.
- Choose Select a class, and then New class.
- Add the students who will be in the class.
- Fill in the details of the class
- All fields should be filled, although Room can be empty if necessary
- Class number can be numbers or letters. Keep it short - 3 characters preferably.
- Tick the attendance checkbox if you wish to record attendance for the students.
- Timetable period can only be set in this screen. It cannot be edited later.
Creating additional instances of an existing class
- Click on the Teaching workspace > Timetable > Calendar tab
- Click on the timetable or click and drag to set the time range for the class.
- Select the class from the drop-down menu. The class should now appear on the timetable.
Calendar class attendance
Calendar classes can be used to mark attendance in the same manner as timetabled classes. However, attendance taken using Calendar classes cannot be seen in the SIP under the Period-based view; the Time-based button needs to be selected.
Calendar classes and attendance reporting
- Attendance taken using Calendar classes will not be visible in the Attendance administration page under the Day by day tab
- Attendance taken using Calendar classes is not included on some attendance reports.
- Attendance entered through Calendar classes will be visible on attendance reports with the phrase Linear view in the name.
- Attendance recorded for Calendar classes will be included in attendance statistics reports.
