Introduction
The Manage student Files pane in the Student Information Panel displays files related to the specific student. The permissions required to view, upload and delete student files are outlined in the article Student Files Permissions.
There are three methods for uploading files to the SIP:
- Method 1: Archive the files (Academic reports only) - Academic reports can be archived through the Administration Workspace > Academic Reports > Reporting, as part of the printing/publishing workflow.
- Method 2: Import the files - Student files and reports can be imported into SEQTA using the Bulk import tool available in Administration workspace > Academic reports > Report archive.
- Method 3: Add the files through the SIP - Student files can be uploaded directly into the SIP using the Add files button (steps below).
Method 1: Follow the instructions in the article Archiving Academic Reports
Method 2: Using the Import tool to upload Student files (Option to set visible in Learn and Engage)
Please refer to the article: Using the bulk import tool to import student files and reports
Method 3: Adding Student Files Through the SIP (Cannot be displayed in Learn and Engage)
The permission 'ST FILES:UNRES' is required to add non-restricted student files. The permission 'ST FILE: RES' is required to add restricted files. Files uploaded using this method cannot be viewed through SEQTA Learn or SEQTA Engage.
- Select the student name in the SIP.
- Click on the Manage Student Files icon to the right of the SIP.
- Click the Add Files button.
- Navigate to the file location and select the file.
- Click Open - The process is now complete and student file should now be visible in the SIP.
Deleting Student Files from the SIP
Archived Reports and Imported Files
Reports archived through SEQTA Academic reports or imported using the Bulk Import... tool must be deleted through the Report archive page.
Reports and documents added directly to the SIP
It is not possible to completely delete student files uploaded via the SIP. They can however be hidden using the process below.
- Select the student name in the SIP.
- Click on the Manage student files icon to the right of the SIP.
- Click on the Bin Icon for the file that needs to be deleted. The process is now complete, and the file will only be visible when the Show Deleted option is ticked.
Restricting Student Files
If required, files uploaded through the SIP can be restricted so they do not appear to staff without the permission 'ST FILES:RES'.
- Select the student name in the SIP.
- Click on the Manage student files icon to the right of the SIP.
- Select the option Upload a restricted file and add the files. To restrict an existing student file click on the padlock icon next to the file name.
Setting Files as visible in SEQTA Learn and SEQTA Engage
Files added directly through the SIP cannot be set as visible in SEQTA Learn or SEQTA Engage. If this is required, the files need to be Archived or Imported through the Report archive tab on the Academic reports page.
