VET reporting setup guide checklist - RSVET, RSQUAL, RSSKILL, RSUSKILL
Information regarding VET reporting and technical requirements can be found in the SCSA Data Procedures manual, available from the SCSA Website.

If the setup appears correct and the report is printing blank, please contact the SEQTA Support team with an example student, teacher and class code. The semester for the programme may need to be enabled through the database.
Additional information
NOTES:
- Some fields that are required in the VET reports for Western Australia do not exist in SEQTA Teach, such as RTO code and Teacher registration number. This information will need to be added directly into the spreadsheet produced by SEQTA Teach.
- SEQTA Teach only supports the Resulting reports, RSVET and RSQUAL. Reporting for Offerings and Enrolments is usually done using data from your school admin system. However, many schools enter dummy data into their VET marks books and use that to create an RSVET, which they edit in the spreadsheet to allow it to be uploaded as OFVET or ENVET.
- The RSVET report can be used as the basis for the RSUSKILL report. Similarly, the RSQUAL provides most of the information required for the RSSKILL report.
Select the VET course type in Marks book settings
- Go to Teaching Workspace > Timetable > My Classes/Traditional view/Calendar.
- Select the teacher's name in the top right-hand corner (if doing on behalf of another teacher).
- Click on the Load Programme icon for the class.
- Select Marks Book settings.
- Select a VET course type
- VET (HC,C,N) or VET (C,N). These course types uses letter codes and are limited in scope. Note that the HC grade is no longer supported by the AQF.
- VET (Reporting codes). This course type will allow the marks book to use any of the numeric codes, but not letter codes.
- Your school may have a modified version of these course types. Please check the setup in Administration workspace > Curriculum setup > Course types. It is essential that the Course set field contains VETCOS, and the calculator drop-down (at the top of the list of checkboxes) is set to VET.
- Slick SAVE.
Create assessments and link syllabus to them
Syllabus needs to be added to the programme then linked to the assessment criteria.
- Go to the Teaching workspace > Timetable > My Classes/Traditional view/Calendar.
- Click on the Load programme icon for the class.
- Select Unit planner or Planner.
- In either of the above locations, VET Units of Competency can be added to the programme, so that they can be referenced in the assessment criteria. See Adding syllabus to a programme.
- Add the required syllabus for the class programme.
- Select Overview of assessments.
- Click on the assessment. If there is no assessment to which the syllabus can be linked, create a new assessment.
- In the Assessable criteria pane, click on the drop down arrow in the Outcome box for each of the criteria and select the relevant syllabus item.
- If syllabus does not show in the list it will need to be added to the programme. See step 3 above.
- Click SAVE to keep the changes.
Bridge concurrent classes
Classes which continue over more than one timetable period in the teaching year will need to be bridged. Many schools have moved to year-long timetables so this step may not be required.
- Go to the Teaching Workspace > Timetable > My Classes/Traditional view/Calendar
- If bridging another teacher's class select their name.
- You should not bridge a programme to a class that already has a programme.
- Click on the Bridge icon for the class.
- Select the corresponding class in the bridging pop-up and click OK.
- Edit the Name to remove the reference to the semester. This is the name (label) which displays in the Marks book and Programme pages.
- Click Save. The Marks book and Load programme icons should now appear on both of the bridged classes. They will use the same assessments with the same linked syllabus.
Enter the Government ID (WASN-WA Student Number) into the Student Record
If this is available in the school's admin system it will be synced into SEQTA. If not, it can be entered directly into SEQTA through the Administration Workspace > Data Management > Student.
Enter the State Government Number into Application Settings
Follow the steps below to enter or change the school's State Government Number.
- Click on Administration Workspace > Application Settings.
- Enter the keyword state into the search box in the top right-hand corner.
- Enter the school's State Government Number.
- Click SAVE.
VET Course Type Setup
A system Administrator might need to create the course type to allow schools to select the VET Course types. You may create multiple VET Course types; the two main types being graded as Competent, Not Competent, or Reporting Codes. The setup for BOTH is the same, however they will have different grade cutoffs.
- Select Administration Workspace > Curriculum Setup > Course types
- Select New course type
- Select Name: Enter VET, VET (C,N), VET (Reporting codes) or similar
- Add the appropriate Grade Scale cutoff values for your application
- VET, VET C,N, other VET custom types
- Competent C, Lower = 100
- Not Competent NC, Lower = 0
- etc…
- VET (Reporting codes) - see table below for the list of numerical codes (the Grade column) and the recommended lower cutoff value.
- Competent 20, Lower = 100
- Not Competent 30, Lower = 0
- Add further outcome codes if required as per the table. This model assumes that 20, 51, 60 and 81 are counted as Achieved, while all other codes are
counted as Not achieved.
- VET, VET C,N, other VET custom types
- Select Course set, and enter VETCOS
- This is critical as it tells the course that the results need to be exported when you run the RSVET Report export.
- Select the Calculator Type drop-down and set to VET (found at the top of the list of option checkboxes)
- This tells the system it is using VET scales for the calculations
- Course type Options (list of checkboxes, usually on right-hand side)
- These are manually set by your school's requirements, though we suggest you remove items that DO NOT make sense for a VET course such as:
- Untick any Calculated score or Calculated grade options
- Untick Overall Results>Allow Entry of moderated scores for reporting
- Typically most check boxes are not required for VET.
