RSCOS and RSVET reports are specific export reports required for Western Australian schools. RSxxx reports focus on the Student Results (RS=Results Student). These reports require data in the SEQTA Teach marks book to trigger the student to print on any report. The file that is generated by SEQTA Teach might require editing in a spreadsheet program to ensure it contains the mandatory data required by SIRS. For information about the data that is required to be in the report, please consult the latest version of the SCSA Data Procedures Manual.
Enrolment data for ATAR/Course of Study and VET subjects requires an ENCOS or ENVET report to be created and uploaded to SIRS. Typically this data would come from your school's admin or timetabling system, but in some cases it might be necessary to create the report from SEQTA. The ENCOS report can be added to your SEQTA Teach instance on request. Please contact the SEQTA Support team via the Help portal.
The ENVET report must be created by modifying an RSVET report. This can be done by running an RSVET report and then modifying the spreadsheet so that it contains the appropriate data for an Enrolments report. Dummy marks will need to be added to the VET marksbook. The RSVET file name will need to be modified as well to comply with the ENVET upload guidelines for SIRS.
In order to run the ENCOS, RSCOS or RSVET report it is essential to check that data exists in the marks book for all currently enrolled students. This requirement is needed to exclude students who may no longer be enrolled in the subject due to a subject change. If no data is present, dummy marks need to be added. It is necessary to explicitly provide a result to trigger their data to be exported in the RSCOS or RSVET report.
Before submitting the RSxxx or ENxxx reports, it is essential the report be proofed to ensure the data is correct and meets the school's reporting requirements and the SIRS upload requirements.
To print the report:
- Click on Administration Workspace>Academic Reports>Reporting.
- Select the correct RSCOS or RSVET report.
- Select students individually or click the ellipsis icon "..." to run for a cohort or multiple students.
- Set the timetable period and report type filters as required:
- RSVET: select the latest timetable period and the latest report type.
- RSCOS: for semester-based timetables, select Semester 1 and Semester 2. For year-long timetables, select the applicable timetable period from the list, plus one additional timetable period. For example timetable periods '2020' and '2021'.
- Click on the Print button on the toolbar. If prompted click OK then select the Click Here to Access Your Document.
- The report will download as a CSV file, which can be opened in a spreadsheet program for checking or editing.
- Remember to confirm the filename is correct before uploading to SIRS.
