Teacher's Salutation is not showing for a class that was running previously in the term/Timetable period.
The system will automatically set the teacher’s name for the subjects on reports based on which teachers have taught the classes for which the student is enrolled during the applicable timetable period. In addition, students that change from one class to another, will have both teachers' names on their report.
If there are many teachers showing against subjects in error, please check the start date for the timetable period under Administration workspace > Timetable Management > Cycle/Period setup to ensure it is correct. If incorrect please contact the SEQTA Support team via the Help portal.
There are two behaviours in the software that occur here:
- If a class runs until the end of the timetable period.
- All the teachers that taught that class would appear in the salutation.
- You may need to override this using one of the options described below. Which one you choose, will depend on your situation and the number of changes required.
- If a class ends before the timetable end date.
- In this case, the Teachers' names are removed to release them from that report requirement.
- The class is deemed completed/finished, no longer needed, or running. (That is, the class may have been collapsed, hence probably not reported on).
- The fix is simple; add their name to the Bridge classes > Report salutation field.
Option 1: Overwriting default teacher names for subjects on reports
- Go to the Teaching workspace > Timetable > My classes.
- If working on behalf of a teacher, select their name in the top-right corner and if necessary, change the date so that the class appears.
- Click the Bridge classes icon for the class. In the event the Bridge icon is not appearing, you need to select the Advanced Options in the View Options selector on the timetable views. (Next to the Print button)
- Type the name (or names) of the teacher in the Report salutation exactly as it should appear on the report.
- Click Save.
- This process is done by each teacher for each affected class.
Option 2: Updating the current teacher/s name for all classes en masse
A script can be run to update in bulk the Report salutation field values for all classes that do NOT HAVE the report salutation populated already. That is, it will not change a class when someone has already updated the Report salutation using Option 1 above. If the process does NOT change a teacher name on the report, it is because someone has already entered a name there. We do not override that from our end.
As this involves a data modification, email authorisation from the School Education Contact is required. Please note that this service will incur a fee.
Please contact the SEQTA Support team via the Help portal, with the following information included:
- Applicable timetable period/s.
- Whether the script needs to be run for timetabled classes, untimetabled classes or both.
