Checking Availability of Rooms

There are various reports available that display which rooms are assigned to timetabled classes. There are however no reports that show which rooms are available at any given time. To check whether a room is available for a given time-range, follow the steps below.
 

The permissions 'BKG: EDIT' (edit room swaps for own classes) or 'BKG: EDIT ALL' (edit room swaps for all teachers classes) are required for the 'Room' tab to show under the 'Swap' option.

Printing the Timetable by Room Report:

  1. Click on the Pastoral Care Workspace > Student Summary > Reporting.
  2. Type 'Timetable' in the search box at the list of reports.
  3. Select the report you would like to print.
  4. (Optional) Select relevant students or staff. If no people are selected, the report will include all students and staff.
  5. Set the date-range.
  6. (Optional) Select the relevant rooms. If no rooms are selected, the report will include all rooms and classes with no rooms assigned.
  7. Click Print.

Checking Room Availability for a Period of Time

This process can be used to check the room availability without needing to create a class, even or appointment.

  1. Go to the Teaching Workspace > Timetable Calendar.
  2. Select the options drop-down at the top left hand side of page and ensure Events and Appointments is selected.
  3. Click-and-drag on the timetable for the the Day/Time you would like to check the room availability (Don't worry if the times aren't exact you can adjust them in the next step if needed).
  4. Select Appointment. It will then open the 'Edit appointment or event' popup.
  5. Click on the drop-down next to rooms so see the available rooms.
  6. Once done click Cancel. Alternately if you want to book the room for the allocated time, add a title, (optional) set as Event, (optional) add Students, Staff or Parents, and click Save.
