Creating and Managing Guardian Records

Contact accounts can be created and managed directly in SEQTA. This is only recommended for schools that do not manage contact records in an external system or who would like an account for testing purposes.

Before creating a new contact record, check to ensure there is not already one there and also that the code you would like to use for the new record is not already in use.

  1. Go to the Administration Workspace > Data Management > Guardians (Contacts)
  2. Select 'Add Record' from the toolbar. Alternatively, to edit an existing contact record, type part of their name in the search box in the top left-hand corner, then select the appropriate record.
  3. Fill in the following fields:

    CodeThis code must be unique. If it matches an account in the school's Admin system the record will be synced.JOEB
    SalutationThis will be used in correspondence to the parentMr Joe Blake

    Firstname Joe
    Surname Blake
    UsernameRequired to log in with account 
    Internally ManagedTick if contact is to be managed directly through SEQTA joe.blake

    Gender M
    Email joe_blake@emailaddress.here
  4. Click 'SAVE'. Refresh/Reload the page. Click here for steps to link the Guardian record to a Student record.
