Value templates determine the available options for entering student values via the School values... dialogue box. This data can then be pulled into academic reports. Value templates can be used for a number of different purposes, such as approaches to learning, co-curricular participation, religious and/or community service reporting, etc. They are also used when recording comments from other school staff, eg: Principal, Boarding Supervisor, House Coordinator.
Vale templates are not subject-specific: they are used to record a "whole school" response.
When creating and managing Value templates, please keep in mind the impact on existing data. It is recommended that any proposed changes to a Value template be raised with the SEQTA Support team so the change can be compared with the academic report logic to ensure the values are mapped correctly. Please include the Value template name, proposed changes and an example student when contacting the SEQTA Support team.
Creating, editing and deleting Value templates
- Select the Administration workspace > Curriculum setup > Value templates
- Select New value template from the left hand side. Alternately, click on an existing Value template to edit it.
- Set the fields as required. Field definitions are as follows:
- Name: The name of the Value template (eg: Homeroom, PCG, Head of School Comment, Principal's Comment).
- Label: The name of the template field (eg: Co-operating with others, Uniform, Organisation).
- Explanation: This appears below the value to assist staff with the format of data that needs to be entered. Example explanations:
E: Excellent | G: Good | S: Satisfactory | U: Unsatisfactory | N:Senior School - Not assessed, Junior School - Not required | A: Absent1: Consistently | 2: Usually | 3: Sometimes | 4: Seldom
- Click SAVE
Creating new Value templates
When creating new Value templates, please enter some test data afterward, then print a report to ensure the required values are supported and mapped correctly in the report code itself.
Editing value templates
Changes to Value templates that have been used for previous reporting periods should be made with great care. If a Value template does not have a Bin icon next to it, this means the template has been previously used and has existing data. In some cases it will be necessary to create a new template, rather than editing an existing one.
- Removing labels will result in data from that field no longer being visible in the marks book and may be omitted from any reprints of reports. Adding the removed labels back in will resolve the issue. We recommend you take a screenshot of the label setup prior to changing any settings.
- Changes to labels will apply to all data entered against that label.
- Value templates can be hidden so that they do not appear for selection by staff.
- If data has been added to a Value template for the upcoming report, and the template is then hidden or changed, the academic report may still be affected adversely by the previous or hidden data. Please contact the SEQTA Support team via the Help portal for assistance if the academic report is displaying incorrectly (eg: extra blank lines, incorrect headings, wrong data)
Deleting value templates
A Bin Icon will appear next to the name of a Value template that has not been used. It is not possible to delete a Value template that has been used and has existing data.
Interview Required Field
Field 15 is a reserved field for interview status. To display a column called Interview Required in the School Values, enter the text you would like display into Label 15 in the Value template. We strongly recommend that field 15 is not used for other purposes.
If you wish to add the field for Interview Required, please contact the SEQTA Support team via the Help portal to notify that this information is now required on the report. They will pass the info to the Professional services team to review the academic report code and advise you on the required changes. Please review the article Requesting Report Customisations and include all the required information eg: example student, Report name and the Report type.
