Understanding attendance priorities

SEQTA assigns a 'Priority' to attendance, based on the method used to record the attendance. This priority is then used to determine which attendance type takes precedence when attendance is overwritten.

For example:

  • Attendance entered through the 'Attendance Administration' page under 'Normal' and 'High Priority', will always take precedence over the attendance marked by the teacher through the Attendance roll page.
  • Attendance entered through the 'Attendance Administration' page will overwrite all attendance regardless of priority.

How the System Manages Two Attendances Entered for the Same Period (Class)

In cases where there is more than one attendance recorded against a class, the system will use the following rules to determine which icon to display:

Two attendance solutions with different priorities. Please refer to table above to identify which priority the attendance will be applied. The attendance solution with the highest priority will take precedence.
Two attendance solutions have been entered with a 'Normal Priority' (Priority 10).Attendance solutions created through the Attendance Manager are Priority 10.First attendance solution entered will take precedence.
Two attendance solutions have been entered with a 'High (Overwrite) Priority' (Priority 100).Attendance solutions created through the Attendance Manager, SIP and Health Centre are priority 100.The last attendance solution entered will take precedence. Due to this if needing to overwrite a 'Normal' Priority attendance solution, the 'High (Overwrite)' option will need to be selected.
Attendance entered through the teacher's Attendance Roll (Priority 5).Kiosk class-based attendance cannot be overwritten by attendance entered through the teacher's attendance roll. The last attendance entered will take precedence.

Attendance priorities and SEQTA Tutor attendance

SEQTA Tutor allows the timetabling of tutorials and the processing of attendance for the tutorials. Tutorial attendance is recorded through the Attendance Administration > Tutorial Queue.

When handling attendance for Tutorials, it's important to understand when pre-existing attendance will be over-written and when it will not. Any attendance solutions entered as a Normal Priority (Priority 10) will be over-written should they need to. An example of where this would be helpful is, should there be an on-site 'Athletics Carnival', but the student still attends a music tutorial.

In other situations, for example, the student may be on an 'Excursion' or 'Absent'. The attendance would need to be processed using the High (Overwrite) Priority, or through the Student Information Panel (Both priority 100).  This way ensures the attendance is not over written by the tutorial attendance (Priority 25).  Note: the exception is the 'Absent' entered by the teachers roll (Priority 5) which will always be overwritten and the student would not attend the music tutorial.
