This article outlines the troubleshooting process for unsuccessful timetable roll outs.
Please note the initial timetable rollout process may take up to 5-20 mins to complete after the sync has been run. Refresh the page to check for changes.
Changes made to Timetabling in the External Timetabling System
If any changes have been made to the timetable structure or timetabling system it is recommended the setup process be completed under the advice of the SEQTA Sync team.
Additional Periods or Cycles/Days have been Added (Externally Managed Timetables)
Each period and cycle requires a corresponding 'Code' in the SEQTA Timetable structure. If there is a period in the external timetabling system which does not have a corresponding code in SEQTA will result in the sync failing.
Check under Manage Days to Ensure the Calendar has been Setup (Required for all Timetables)
The process for setting up the Calendar that underlies the timetable can be found here.
- Go to the Administration Workspace > Timetable Management > Manage Days.
- Ensure the terms have been added and days assigned in the main work area (they should display in colour).
Ensure Classes have been Created and Students have been Enrolled in Classes (Required for Internally Managed Timetable)
The following processes are required for schools which manage their timetables directly in SEQTA.
- Create Internally managed timetabled classes
- Enroll Students into (Non-Synced, Roll Classes) Timetabled Classes
Timetable Export Files have been Uploaded onto the Sync Page (Sync UI Schools)
Schools who use the Sync UI page to upload timetable export files may need to Clone an input container for use with the new timetable. Additionally, they will need to Upload the timetable period.
Term Alias has not been Added (Only required for some schools)
Depending on the School's Timetabling system a Term alias may be required to determine which classes are synced into the timetable. The process for setting up the Term alias can be found here.
The sub-page Manage term alias will not be available for school who do not use Term alias.
- Go to the Administration Workspace > Timetable Management > Manage Term Aliases.
- Ensure the terms aliases have been added.
